Administration Team Leader – CA

This successful company ensures the safe & efficient operation of public and private building across Australia. Key to their success is having expert technical teams superbly supported by a highly efficient administrative hub. Through an internal promotion, an opportunity has become available for an equally brilliant and dynamic Administration Team Leader to join them.

With a dual reporting line to both the General & Operations Managers, your role will be central to the smooth functioning of their administrative processes. This will include:

  • Overseeing the work of a dedicated team ensuring an efficient and client focussed support to technical and operations teams
  • Assisting with the scheduling of technicians in compliance with service level agreements
  • Updating Contract Managers on any issues relating to specific client contracts or general service needs
  • Maintaining accurate records of technicians and subcontracts, recording licences and certifications and advising of need to renew in a timely manner
  • Assisting with quotations for non-contract services, including allowances for parts and labour
  • Raising of purchase orders to maintain adequate spare parts inventory
  • Providing general administrative support to the management team.

We are looking for a stand-out leader who:

  • Has prior leadership experience, ideally in with exposure to contract administration in a building services / maintenance environment
  • Is passionate about developing and empowering individuals, harnessing their skills and personal attributes to build cohesive and inclusive teams
  • Is proficient in the use of MS Office software (Word, Excel & PowerPoint) and has used MS Great Plains or similar ERP software
  • Has excellent communication skills with the ability to build strong and enduring relationships with internal and external stakeholders
  • Is highly organised and can distribute workload equitably across the team to meet deadlines and facilitate individual development needs
  • Has excellent problem solving skills and views an issue as an opportunity to be solved
